Fresh Produce Export Packaging: The Complete Buyer's Guide

From spec sheet to container loading β€” everything a buyer should nail down before the first PO.

Packaging is usually under 5 % of a fresh produce program's cost β€” and the cause of far more than 5 % of its claims. This guide condenses what we've learned supplying cartons, bags and PP boxes to growers and importers on four continents into a checklist you can use on any supplier, including us.

1. Write a real spec sheet

A one-line WhatsApp message ("13kg banana box, quote pls") produces quotes you cannot compare. A proper spec sheet fixes: internal dimensions, board grade / film structure with thickness, BCT or load target at humidity, vent pattern, coating, print colors with Pantone references, and packing/palletization. Any factory that cannot fill in that sheet line by line is guessing β€” and you'll pay for the guess at the port of arrival.

2. Certifications: what to require, and when

  • ISO 9001 β€” baseline quality management. Non-negotiable for any export program.
  • FSC Chain of Custody β€” required by most EU/UK/JP retailers for paper packaging.
  • GMI β€” print color consistency; demanded by US retail brand programs.
  • ISO 14001 / SGS audits β€” environmental system and site verification for supplier onboarding.

Ask for certificates by site, not by group name β€” a certificate held by one plant does not cover another. (Ours are published per-site on the certificates page: 11 certificates across 4 bases.)

3. Confirm MOQ and timing in the current quotation

MOQ and timing vary with the finished SKU, quantity, factory, capacity and approval work. Ask the written quotation to state its validity, sample scope and cost, approval dependencies, production milestone, Incoterm and route assumptions.

4. The multi-country sourcing advantage

5. Before the first container ships

  • Approve a physical pre-production sample, not just a PDF proof
  • Agree the inspection standard (AQL level) and who inspects
  • Confirm palletization and container loading plan β€” badly loaded packaging arrives as scrap
  • Lock the price validity period and raw-material adjustment mechanism
